Job Offer: Administrative and Accounting Assistant

Innovitech, an active business for more 25 years on the local, national and international scene, supports its customers through every stage of the innovation chain. Innovitech is currently seeking an administrative and accounting assistant or bookkeeper for the Green Aviation Research & Development Network (GARDN).

GARDN is a non-profit organization whose mission is to promote the collaboration of researchers, universities and research centres in the aerospace industry and support collaborative R&D initiatives that meet aerospace requirements that reduce its environmental footprint, assisting and funding partnerships.

Reporting to the Executive Director, the administrative and accounting assistant or bookkeeper will participate in administrative and accounting related support activities for the organization.

 

Administrative Responsibilities

  • Organizes meetings for committees, board directors and others:
    • Drafts the agenda
    • Convenes meetings, coordinates and plans logistics
    • Prepares the necessary documentation
    • Monitors quorum
    • Attends meetings and drafts the minutes (in English)
  • Provides full administrative support to the Executive Director:
    • Manages email and calendar
    • Interacts with the senior management of external organizations
    • Drafts, designs and reviews documents and follows up on
    • Books and pays for travel
    • Organizes business trips
    • Handles correspondence and mail
  • Keeps corporate books up-to-date
  • Updates corporate information for Governments (directors and incorporation) and banking
  • Handles D&O insurance coverage
  • Manages and files paper and digital documentation effectively
  • Supports, if necessary, the project manager

 

Accounting Responsibilities

  • Handles accounts receivables (billing, bill collection and bill payment follow-ups)
  • Handles accounts payables (posts, approves and pays bills)
  • Handles bank deposits and reconciliations
  • Closes fiscal year-end
  • Prepares and performs financial audits with external auditors
  • Monitors and updates budgets
  • Manages investments (monitors, buys and sells)

 

Key Requirements

  • College or university degree in business administration, preferably in Accounting or a relevant field or other training and/or relevant experience
  • At least three (3) to five (5) years of relevant experience
  • Fluency in French and English (spoken and written)
  • Excellent command of Microsoft Office (including Outlook, Excel, Word and PowerPoint)
  • Knowledge of SAGE50 software (Simply Accounting)

  • Availability: possible travel outside the province and/or early morning (once a month)
  • Solid knowledge of how the research works and what it requires, plus a knowledge of partnership agreements and intellectual property, is an asset
